We take your privacy seriously. Here's exactly what we collect, why, and how you can be in control of your data.
1. Who we are
Here4U Community Ltd ("we", "us", "our") is a company registered in England and Wales (Company No. 16719056), incorporated on 15 September 2025. We are the "data controller" for the personal data we collect through this website and our events.

2. What information we collect
We only collect data we actually need:
- When you join the community: your first name, email address, and (optionally) your location and event interests.
- When you contact us: anything you choose to share with us in your message. Sharing your name and email is optional.
- When you book an event: your name, email, and any access requirements or dietary needs you tell us about.
- When you visit this website: basic technical data such as your browser type and anonymised visit patterns, only if you accept analytics cookies.
We do not collect payment data on this website. If you pay for a ticketed event we may use a trusted third-party provider (e.g. Stripe or Eventbrite), who handles payment data under their own privacy terms.
3. Why we collect it (lawful basis)
- Consent, for newsletters and event updates (Article 6(1)(a) UK GDPR).
- Contract, to deliver an event you've signed up for (Article 6(1)(b)).
- Legitimate interests, to respond to enquiries, keep the community safe, and improve our services (Article 6(1)(f)).
- Legal obligation, where we're required to keep records (for example, for HMRC).
4. Who we share it with
We never sell your data. We share it only with a small number of trusted providers so we can run the community:
- Our email platform (e.g. Mailchimp or similar) to send you newsletters
- Our hosting provider (Hostinger) to run this website
- Payment providers (if and when we start charging) to process bookings
- Law enforcement, where legally required
Any providers we use are bound by their own privacy policies and data-protection obligations.
5. How long we keep it
- Newsletter list: until you unsubscribe, or after 3 years of no engagement.
- Event bookings: up to 2 years after the event (for safeguarding and accounting).
- Contact messages: up to 2 years, then deleted.
- Accounting records: 6 years, as required by UK law.
6. Your rights
Under UK GDPR you have the right to:
- See what personal data we hold about you (a "subject access request")
- Ask us to correct anything that's wrong
- Ask us to delete your data
- Ask us to stop using your data for certain purposes
- Ask for your data in a portable format
- Withdraw consent at any time

If you're unhappy with how we handle your data, you can also complain to the UK Information Commissioner's Office (ICO): ico.org.uk.
7. Cookies
We use essential cookies to make the site function (for example, remembering your cookie preferences). With your consent, we may use analytics cookies to understand how the site is used. You can change your cookie choice at any time by clearing your browser cookies or using the cookie banner next time you visit.
8. Children
Here4U Community is designed for adults. We do not knowingly collect data from anyone under 16. If you believe a child has provided us with data, please contact us and we'll remove it.
9. International transfers
Some of our providers (for example, email tools) may process your data outside the UK. Where that happens, we make sure appropriate safeguards are in place, such as Standard Contractual Clauses.
10. Changes to this policy
We may update this Privacy Policy from time to time. If we make significant changes, we'll let you know by email or by a clear notice on the website.
